The six steps

1. 1.Create the workspace

   Enter your name, work role, company name, organisation email and password, then accept the terms.

   Required now: Name, organisation email and password only.

   What happens: We create a private workspace and email you a verification link, with resend and change-email actions.

   Plan limits: Always self-service — no sales review, no activation email to staff, no payment details.

2. 2.Name the first project site

   Enter the project name, emirate/location and primary work type. Client, start date and worker count are optional.

   Required now: Project name and emirate/location.

   What happens: Creates your first active site with a preloaded dashboard, basic checklists and localised terminology.

   Plan limits: Free includes 1 active site. Trying to add a second one explains the Pro benefit — it never blocks the first.

3. 3.Choose your responsibility

   Select HSE Officer, Site Supervisor, Project Manager, Director or Other.

   Required now: One role.

   What happens: Tailors your home screen and tips. It does not remove access permanently.

   Plan limits: Roles are never paywalled.

4. 4.Pick the first job to do

   Choose one tile: report a hazard or incident, create a permit, run a toolbox talk, add a document, or explore sample data.

   Required now: One choice, or sample data.

   What happens: Opens a guided version of that workflow with a three-to-five action path.

   Plan limits: Pro-only steps are labelled, but never used as the opening task.

5. 5.Complete one real result

   Save a near-miss draft with a photo, create a PTW draft, generate a TBT QR code, or upload one certificate.

   Required now: Only the minimum fields for the item you chose.

   What happens: Saves the record, shows where it appears on the dashboard and confirms what happens next. AI stays off until you choose “Use AI help.”

   Plan limits: If you pick a Pro-only control, your draft is preserved and you get the benefit plus Start trial / Not now.

6. 6.Invite or continue alone

   Invite one teammate by email, or choose Skip for now, then open the “Your site is ready” dashboard.

   Required now: Nothing — skipping is valid.

   What happens: Sends the invitation and shows a short next-steps panel: add a document, run a TBT, invite workers, review limits.

   Plan limits: Site, team (10 members on Free) and storage caps show as neutral usage indicators, never warnings.

What we tell you, and when

Company-email rule

Use the email provided by your employer. It helps keep your workspace private. Need to use a personal address? Choose “I do not have a company email” to verify your organisation without waiting for support.

Site creation

Start with the site you need today. You can add client details, dates and project settings later.

Role selection

This only tailors your starting dashboard and tips. It does not lock you into a permission level.

AI choice

AI can suggest a first draft. It never approves a permit or makes a safety decision. You can use the workflow without AI.

Save draft

Saved privately. You can return later; nothing has been sent to your team or an authority.

First completed result

Good start. Your first report, permit, toolbox talk or document is saved in this site. Next, invite a teammate or continue setting up when it suits you.

• Mistaking an AI draft for an approval

  Every AI result is marked “Draft — review required” and an authorised user must confirm review before final use.

• Losing work during setup

  Every completed field autosaves and every workflow has Save draft.

• Submitting to the wrong project

  The active workspace and site are shown in the header and on the final review screen.

• Feeling forced to invite people or migrate data

  Invitations, CSV imports and document migration stay optional after your first useful result.

• A paywall blocking urgent reporting

  Incident and near-miss reporting is never locked behind a plan.

• Needing staff to proceed

  In-product explanations, a searchable help centre and optional remote support — no demo, approval or call required for Free or Pro.
